Assigning licenses to users

This article explains how to assign available licenses to users. If there are no unused licenses in your account, you can revoke a license from an existing user and assign it to another one.

Assigning licenses manually

If you need to assign a few licenses to specific users, you can do it manually.

  1. Log in to JetBrains Console.

  2. In the sidebar under Licensing select Licenses.

  4. Find an available one and click Assign next to it.

  5. In the dialog that pops up, enter the user's email address and name, and then click Assign.

The user will see the license in their personal JetBrains Account and can use it to activate their JetBrains product.

  1. Log in to JetBrains Console.

  2. In the sidebar under Licensing select Teams.

  3. In the list of teams, select the team that your unassigned licenses belong to.

  4. Click View licenses under the total number of licenses.

  5. Use the filters at the top of the page to find available licenses.

  6. Find an available one and click Assign next to it.

  7. In the dialog that pops up, enter the user's email address and name, and then click Assign.

The user will see the license in their personal JetBrains Account and can use it to activate their JetBrains product.

Why are users' names hidden in the list of assigned licenses?

If you’re a team or org admin, you might notice that some users’ names are partially replaced with asterisks in the list of assigned licenses.

In some cases, we partially hide the names of users for the additional protection of personal data. This happens when both of the following conditions are true:

  • The user’s license was assigned manually.

  • The user is not and has never been on the list of contacts in your organization’s profile.

Conversely, users’ names are fully displayed if at least one of the conditions above is not true. So you will see a user's full name if they got their license via bulk invitation or if they currently are or have ever been on the list of contacts.

In the case of bulk assignment, users have to explicitly agree to receive the license from your organization by clicking the invitation link. By contrast, manual assignment is done by admins and does not involve the participation of users at all, which is why we don't display their names in this case.

Assigning licenses with bulk invitations

To quickly distribute multiple licenses to your entire team, use the bulk sharing option. It allows you to share an invitation link with your team members and let them claim the available licenses.

  1. Log in to JetBrains Console.

  2. Click Teams in the menu on the left.

  3. Select the team that your licenses belong to. If you're not sure which team that is, follow these instructions to find out.

  4. In the menu on the left, click Invitations and then click Create Invitation.

  5. In the dialog that pops up, select the product that you want to create an invitation for.

    Optionally, you can:

    • Enter the name of the invitation for future reference.

    • Specify how long your invitation link will remain active.

    • Restrict access to this invitation to users with specific email domains.

  6. Once you're done, click Create. On the invitation page, copy the invitation link and send it to your users.

That's it – your part is done! Your team members can now claim the licenses using their JetBrains Accounts.

You'll receive an email notification each time a user successfully obtains a license. At the bottom of the invitation page in the Accepted invitations section, you'll see the list of users that have obtained licenses using this particular invitation link.

Assigning licenses from a license certificate email

You can assign recently purchased licenses to users directly from the license certificate email you received upon completing the purchase. You can choose between bulk sharing and manual license-by-license assignment.

  1. Open your license certificate email and click the software activation link.

  2. This will take you to the license assignment page, where you can find the invitation link. Click Copy link to save it to the clipboard.

  3. Share the invitation link with your team in any way you prefer, such as by email or via a messaging app.

And that's it – your part is done! Your team members can now claim licenses. The process is outlined in the next section.

While users are claiming licenses, we recommend that you take a moment to create an account in JetBrains Console. This will allow you to assign and revoke your licenses after the software activation link in the email has expired.

If you prefer to assign licenses one by one rather than share them in bulk, follow the instructions below.

  1. Open your license certificate email and click the software activation link.

  2. On the license assignment page, click the Licenses tab to see the list of licenses in your order. Consult the Assigned to column to check which licenses are available and which are already taken by users.

  3. To assign a license to a new user, find an available one and click Assign next to it.

  4. In the dialog that pops up, enter the user's email address and name, and then click Assign.

That's it – your part is done! Your team members can now claim the licenses using their JetBrains Accounts.

While users are claiming licenses, we recommend that you take a moment to create an account in JetBrains Console. This will allow you to assign and revoke your licenses after the software activation link in the email has expired.

If you don't already have an account, you can create it on the license assignment page by clicking the Get a JetBrains Account link at the top.

In the dialog that pops up, enter your email address. Make sure you use the same email address to which the license certificate was delivered. Otherwise, you'll have to request permission from the original order recipient to manage the licenses.

Once you've entered your email, click Create JetBrains Account and check your inbox for further instructions.

Find the team to which your licenses belong

Normally, you specify a team for new licenses at checkout. It can be an existing team or a new one. If you made a purchase without specifying the team, you'll find your licenses in an automatically created team named after the order reference number.

If you’re not sure which team to look for, start from the license view.

  1. Log in to JetBrains Console.

  2. In the sidebar under Licensing select Products and services.

  3. Find the product that you want to assign to users and then click Active subscriptions.

  4. You'll find the team's name in the Team column of the license table.
